Who supports the website and the document-answer workflow.

DRAFT REVISION / 27 SEPTEMBER 2026

Draft register. Product account regions, applicable agreements and retention settings need verification before customer-document processing.

01 / Website platform · Framer

Framer is used to build and host the marketing website. Its role includes serving pages and assets, operating the platform and providing built-in site analytics. Technical visitor information may be handled in providing those services.

Framer’s published data-processing addendum describes its processor role where it processes personal data on a customer’s behalf. Its own suppliers are documented by Framer. The site’s final integrations remain subject to a launch check. The calculator uses no product inference or retrieval service. Its static hosting destination is being selected separately and must be recorded before publication; it must not be assumed to share the application’s hosting configuration.

02 / Product inference and embeddings · OpenAI

The product uses OpenAI API services to create embeddings and generate answers. Relevant manual text, the user’s question and contextual information can be included in those requests.

OpenAI states that API data is not used to train its models by default unless the customer opts in. Retention and processing location depend on the API feature and account settings; this is not a claim that Exactbench has zero-data-retention approval or a particular residency configuration.

03 / Product retrieval · Pinecone

The product uses Pinecone for retrieval from indexed manuals. Stored records can include embeddings and metadata, including document passages and source references. Treat these records as customer content, not as automatically anonymous data.

The active index region and applicable account arrangements must be checked before a pilot. Availability of an EU region does not establish that the whole processing chain stays in the EU.

04 / Product hosting and database · Render

Render is the documented application-hosting and managed PostgreSQL provider. Depending on deployment, it may handle account records, manual files and metadata, questions, saved answers and operational logs.

The active region, storage, backups and retention settings need to be verified for the actual hosted pilot. This register does not certify the current deployment or its recovery arrangements.

05 / Enquiry and email delivery

The website form collects your name and email address. Framer processes submissions and is configured to send them to Niall.dunne@exactbench.com, hosted by Google. The applicable Google account configuration, retention and transfer arrangements still need verification.

Framer’s native email destination is selected for this form. No separate form-delivery integration has been added.

06 / Agreements, locations and changes

A supplier’s published policy describes its standard terms; it does not prove which agreement, configuration or transfer mechanism applies to a particular Exactbench account. Those details must be confirmed before a pilot is approved.

Where Exactbench acts as a processor for a customer, the agreed processing terms must address subprocessors, relevant locations, international transfers, changes and objection arrangements. No EU-only guarantee or fixed supplier-change notice period is made in this draft.
